Minutes of The Montvale Free Public Library
Board of Trustees Meeting
held in the Library on Thursday, September 24, 2009 at 7:30 P.M.
I. Roll Call
In Attendance: Donald Løndahl-Smidt, President

Dick Voorhees, Mayor’s Alternate
William Belluzzi, Superintendent of Schools
Susan Ruttenber, Director
Donald Løndahl-Smidt stated that the requirements of the Open Public Meetings
Act have been satisfied.
II. Minutes
The Minutes of the August 27, 2009 meeting were approved as presented.

III. Director’s Report
The September Director’s Report prepared by Ms. Ruttenber is included with the Minutes.
Susan commented that there was positive feedback from those who participated in the Friends of the Library Book Sale which was held on September 12th and September 13th. People remarked that this sale is one of their favorite book sales and they look forward to it every year.

IV. Quarterly Reports
Reference/Technology Librarian’s Report
The Reference/Technology Librarian’s Report for September prepared by George Galuschak is included with the Minutes.
George listed the new titles added during the quarter in reference, graphic novels, and computer books.
George reported on the computer training tutorials the library recently offered to library patrons: An Internet Resources Tutorial, An E-Mail Basics: GMail Tutorial, A Microsoft Word Basics Tutorial.
Youth Services Coordinator’s Report
The Youth Services Coordinator’s Report for September prepared by Giulia Bombace is included with the Minutes.
Giulia reviewed the following activities:

Specialized
Services Librarian’s Report
The Specialized Services Librarian’s Report for September prepared by Lorissa Lightman is included with the Minutes.
Lorissa reported that she is in the process of writing the October issue of
“Not Just Books”.
In addition, Lorissa reported on her on-going responsibilities which include ordering and processing materials, ordering supplies, helping patrons with their reference requests, conducting computer classes and coordinating ESL. The two book groups are doing well and she is still trying to get a third book group going.

V. Unfinished Business
Contingency Committee
Dick Voorhees asked the role of the Contingency Committee. Tom explained that it was formed to discuss financial planning. The committee would try to identify areas where we might anticipate financial cutbacks, and what could be alternative sources if the library does not get the money to do what needs to be done.
Succession
Planning Committee
The Succession Planning Committee was also explained. The committee will discuss the recruitment process that will be in place if and when anything happens to Susan or when she retires. The library board would be ready and have a plan in place to know exactly what the recruitment and interview processes would be.
Status of New Library Board Member
Susan has advertised for the library board position in the local newspapers and has posted it on the library website. One applicant has expressed an interest so far. After all responses have been received, interviews will be scheduled for the October 22nd Board Meeting.
VI. New Business
Resolution Regarding Allocation of Reserves Funds
The Board approved the following resolution regarding allocation of reserves funds as presented by the Contingency Committee:
WHEREAS The Montvale Free Public Library Board of Trustees has determined that it is both necessary and financially prudent to allocate certain reserves monies for specific uses and projects,
BE IT HEREBY RESOLVED that the monies shall be allocated in the following manner:
Funds set aside for facility improvement objectives - $60,000
Funds set aside for emergencies - $40,000
Funds set aside for collection development projects - $9,000
Funds set aside for special projects - $9,000

Swine Flu Precautions
The board members discussed the swine flu precautions for the library staff and patrons. It was decided to make everyone aware of the situation by placing hand sanitizers and signs around the library.
VII. Adjournment
The Board made a motion to adjourn the meeting at 8:45 P.M.
